CASQA Events Manager Recruitment

The California Stormwater Quality Association (CASQA) is seeking a skilled and detail-oriented Events Manager to join our team. All team members play a vital role in advancing sustainable stormwater management protective of California’s water resources through collaboration, education, and advocacy.

The Position

This full-time position supports CASQA by working with a team of volunteers, outside contractors, and other CASQA staff to manage the planning and execution of all CASQA events. The Events Manager primarily oversees the 3-day annual conference, which attracts approximately 1,000 attendees, 50+ exhibitors, and multiple sponsors. In addition, the role includes coordinating three virtual seminars each year, and other events as needed. Event related responsibilities include managing production and logistics such as budgets, contracts, venue coordination, room block management, food and beverage purchases, vendor relationships, speaker and moderator management, and attendee support services to ensure events run smoothly and meet organizational goals.

The position also includes website responsibilities, such as posting content updates on CASQA’s WordPress website and collaborating with external web consultants for more complex changes to ensure that CASQA’s digital presence remains functional, accurate, and aligned with its mission. The Events Manager also provides administrative and technical support for all member accounts and product purchases.

The position requires the ability to lead and work independently, while also working in close collaboration with a variety of members, partners, and staff. The position is fully remote, though the individual must reside in California. Travel is required within California for in-person events, and as needed (infrequently) for other organizational needs.

The Candidate

We are looking for an organized and proactive professional who is passionate about delivering high-quality events and can manage basic website updates and accounts. The ideal candidate thrives in a collaborative environment, is highly detail-oriented, and is motivated by CASQA’s mission to protect California’s water resources. The selected candidate will shadow the current Events Manager through October 1, 2025 (comprising the core months of planning the 2025 Annual Conference, as well as one to two virtual seminars).

Core Competencies

Event Planning and Execution: Demonstrated expertise in planning and executing large-scale events, including in-person conferences and virtual seminars, with a strong ability to manage logistics, contracts, budgets, and vendor relationships.

Project and Time Management: Ability to effectively plan, prioritize, and execute multiple projects simultaneously, ensuring deadlines and deliverables are met while maintaining high-quality standards.

Collaboration and Stakeholder Engagement: Strong interpersonal skills to work with CASQA members, volunteers, contractors, sponsors, exhibitors, speakers, and CASQA staff, fostering productive partnerships and ensuring successful event outcomes.

Technical and Digital Proficiency: Familiarity with event management platforms, registration systems, and virtual event tools, as well as experience managing content updates on WordPress websites and coordinating with web consultants for advanced needs.

Customer Service and Support: Commitment to providing excellent support for CASQA members, event attendees, and stakeholders, including troubleshooting issues to ensure a seamless experience for participants.

Budget and Contract Management: Experience in budget oversight, contract negotiation, and financial tracking to ensure cost-effective event planning and successful fiscal outcomes.

Attention to Detail and Problem-Solving: Strong ability to anticipate challenges, troubleshoot issues, and ensure seamless event logistics and website functionality with a proactive and solution-oriented mindset.

Adaptability and Initiative: Capacity to work independently while also collaborating in a team-oriented environment, adapting to changing needs and proactively identifying areas for improvement in event planning and website management.

Qualifications

  • Bachelor’s degree in Marketing, Event Management, Public Relations, or a related field.
  • Five (5) years of experience in large-scale event planning.
  • Experience using WordPress for content updates (basic proficiency required; more advanced proficiency would be viewed as an asset).
  • Strong written and verbal communication skills, with the ability to engage diverse audiences.
  • Proficiency in Microsoft Office, PowerPoint, and digital communication tools.
  • Independent worker with the ability to collaborate effectively as part of a team.

Salary and Benefits

Annual salary of $65,000 – $115,000, dependent upon qualifications and experience, plus a benefits package that includes:
